Other organisations are welcome to make use of these policies, however, we have arrived at them to suit our own situation. It is strongly recommended that if you use them, then do so as a guide to develop your own policies which will suit your situation.

GRANTS-IN-AID

(Travel Assistance and entry fees)

Introduction and background

Hamilton Swimming Club has a long tradition of supporting its nationally and internationally competitive swimmers who have met the qualifying times and actually attend the following meets;
  • National Juniors
  • National Winters
  • National Age Groups, Div II
  • National Age Groups, Div I
  • NZ Youth & Opens
The main reasons for this policy include;

Grants

1. Eligibility

Most of the Club’s fundraising takes place over the winter. Therefore to be eligible for individual and travel assistance grants, a swimmer must be a financial member of the clubby 30th June. The swimmers must participate in a minimum of 5 out of 9 club nights and 2 race skills night. New members joining the club through the year may be assisted at the committee’s discretion. However, participation in fundraising activities by these swimmers and their parents will be taken into consideration.

2. Travel assistance

Payment of the travel assistance is dependant on the funds made available by the Club in Policy No. 3 (dated 14th October 2003).  The travel assistance is based on a formula;
  • Hamilton-based meets
  • 0 points
  • Elsewhere in Northern part of North Island (Taupo and above)
  • 1 point per meet
  • Southern part of North Island and Gisborne
  • 2 points per meet
  • Upper South Island (North Otago and above)
  • 3 points per meet
  • Otago / Southland
  • 4 points per meet

    Travel Assistance to club members who qualify/are selected for international events are considered as and when the occasion arises.

    Service to Club:

    That an amount of $1,000.00 for the 2006/7 season be allocated from fundraising monies to be used as a reward to a swimmer or swimmers who give service to the club.
    Service may consist of: assisting at club nights (as an official), assisting with race skills nights, being a leader in the club by taking responsibility for being a buddy to junior swimmers, assisting with stroke development groups, and any other areas that the committee may consider to benefit the club.
    Swimmers are required to apply in writing to the Committee by the 30th April each season, outlining the service that they have given to the Club and providing evidence to support their application.
    The Management Committee of the Club (President, Vice President, Secretary, Treasurer and Coaching Convenor) will make the appropriate awards.  It is envisaged that these awards will be given out at Prizegiving.  The decision of the Management Committee is final.

    3. Payment

    Payment to swimmers will be made at the end of the season. This is to ensure that the budget set under policy No. 3 is not exceeded. If there are more reimbursements to be made than the budget provided, then travel assistance will be paid on a pro-rata basis using the points earned by each swimmer as detailed above. The total number of points are added together and allocated against the total budget available to a maximum value as set by the committee.
